In this article, we will cover how to scan checks into Profitstars. Now that you've successfully registered your device and counted your checks, you're ready to begin scanning checks.
1. Open the Check Scanning Portal
Log into Pushpay at pushpay.com/login if you haven't done so already.
On the left-side bar click Gift Entry > Check Deposit then click Open check scanning portal.
2. Create a New Deposit
When the page to the ProfitStars portal opens click Transactions > Remote Deposit Complete.
Click the green Create New Deposit in the lower-right hand corner to start the check scanning process. The New Deposit page appears:
Please Note: If you haven't already installed the check scanning software it will automatically start downloading. You need to install the software before you can continue. Follow the steps outlined in these articles to complete the installation:
If you have installed the software and the scanner is not being recognized in the portal, make sure the software is running.
- Select a Location*
- Create a Deposit Name.
- Enter the Number Of Checks you are scanning
- Enter the Total Amount of those checks.
- Click the green Create button.
* If you do not have more than one listing in Pushpay, this option will be defaulted. If you have multiple locations and a Pushpay listing for each location, separate your checks by location and scan separately to ensure they are recorded under the correct listing in Pushpay.

3. Scan Checks
Scan all the checks for your batch. Click Refresh to populate the deposit amounts. Under the Deposit Status section, the Scanned field presents the number of items as they are scanned. The total amount of all the items display when the deposit is complete.
You will see an alert if a particular check is recognized as being a duplicate, has an invalid MICR or requires a rescan for poor image quality. Hover your curser over the alert for more details. Below are examples of a duplicate and invalid MICR alerts.
Use the Delete or Rescan options to the right side of the check to fix any alerted issues.
Selecting Delete will present you with the option to delete and adjust the deposit amount. If the check you are deleting was included in the total number and dollar amount you entered in Step 2, choose the second option to Delete check, decrement check count, and reduce the deposit total to reduce your batch total accordingly.
Amount status of "To be Keyed"
The amount field entry will be performed by the ProfitStars balancing team if the amount cannot be automatically read by the system. More information about adjustments like this can be found here.
4. Complete Deposit
Once you’ve completed scanning all your checks, click the green Complete Deposit button on the bottom right hand corner.
Click on the check box next to the batches you would like to process > click Close Deposit(s) in the right hand corner > Confirm by click Close.
