You will first choose whether you wish to create annual statements, quarterly statements, or statements covering a custom time period. Whatever you choose, you will be required to wait 10 days from the end of the selected period to ensure that all relevant transactions have processed and are accurately including in your statements.
For annual statements, select the year you wish to create statements for from the dropdown.
For quarterly statements, select the year, and then click the quarter that has just finished to set the period from January 1 until the end of the specified quarter. If you wish to deselect earlier quarters, just click on them until the Time Period displayed is correct.
For a custom statement period, simply select the start and end dates of the period you want to specify. Dates are inclusive, so statements will include gifts given on both the start and end date.
After selecting the statement period, you will be prompted to confirm some of the details that will be shown on your giving statements:
- Statement name: By default, the statement name will be pre-filled based on the period selections in the prior step. This field can be customized to your liking, however.
- Contact email address and phone number: these details will be shown on every statement should your donors need to contact you with questions. It is important that these details direct your donors to the right place.
Next, you can review and confirm which of your funds are tax deductible, and will therefore have their transactions included in giving statements, by clicking View funds.
Please Note: this list will include all tax deductible funds, not just those that have gifts within the selected statement period. If a fund is missing from this list, you can edit the tax deductibility status of the related fund by navigating to the Funds summary page and selecting the desired Fund. |
Finally, you can review the number of Community Members for whom a statement will be issued. These numbers are approximate as exact numbers will be confirmed when statements are actually generated. Here, you can see the number of Community Members who are missing contact details.
If the details shown in the summary are not what you expect, return to the Prepare for Giving Statements step and review the instructions for collecting contact details for recorded donations.
If your community details are correct, click Next.
Once you're done you can continue on to Step 2: Generate your statements
